Documents required upon enrolment

Dear International Candidates!

Due to the current epidemic situation the confirmation of studies in the academic year 2021/2022 is conducted online via e-Rekrut registration system for candidates and by sending us the required documents.

We encourage you to follow the News section at e-Rekrut with up-to-date information published on every step of the admission procedure.

  • If you are qualified for the programme the online confirmation in the e-Rekrut system is required, by printing the Form for candidates admitted to the programme and uploading the scans of the following documents:
    • scan of the original Secondary School Certificate/BA diploma/MA diploma with legalization or apostille (as applicable),
    • scan of the Form for the candidate admitted to a programme with your handwritten signature and your passport type photo on it,
    • (for candidates on fee-paying basis) the confirmation of making one semester tuition fee payment made to the University bank account (the details for making the transfer were sent in message via e-Rekrut)
  • Remember: the online confirmation to undertake the studies takes place according to the SCHEDULE.
  • The failure to fulfill all above requirements within the prescribed deadline is tantamount to your resignation which results in the removal from the list of candidates qualified for the programme.
  • The scans of the documents and your data are verified by the Admissions Office KUL. If documentation is inappropriate we will contact you via e-mail address or through the online account in our system e-Rekrut. After the uploaded documents are verified positively and after the payment is registered on the University’s account the Admissions Office KUL will issue a certificate of enrolment for visa purposes.

IMPORTANT!!! It is obligatory to submit the original version of the Form for the candidate admitted to a programme (with your handwritten signature and your passport type photo on it) and to present the original documents for inspection at the Admissions Office KUL no later than October 8, 2021. Upon verification you will receive the Decision of Acceptance. The failure to present the required documents results in the removal from the list of candidates qualified for the programme.

Candidate who confirmed the studies at KUL is obliged to send via post office or submit to the KUL mailbox the following documents:
  1. signed by hand form for candidates admitted to a programme – questionary with photo and declaration to undertake the programme,
  2. copy of the Secondary School Certificate with legalization or apostille certified by notary,
  3. Polish sworn translation of the original Secondary School Certificate. The translation should be taken by Polish sworn translator (applies to certificates and diplomas issued in languages other than English),
  4. one color passport type photograph (35×45 mm),
  5. signed by hand declaration to respect the Catholic character of the John Paul II Catholic University in Lublin,
  6. valid health certificate is required for candidates admitted to Biotechnology programme. The medical referral is issued by the Secretariat of the Faculty,
  7. the parish priest’s opinion for candidates of the Roman Catholic denomination to programmes: philosophy, theology,
  8. Letter of Recommendation from the Church authorities and permission to undertake the studies for clergymen,
  9. medical insurance or declaration to sign a contract with the National Health Fund in Poland.

Candidate who confirmed the studies at KUL is obliged to send via post office or submit to the KUL mailbox the following documents:
    1. signed by hand form for candidates admitted to a programme – questionary with photo and declaration to undertake the programme,
    2. copy of the BA/MA diploma with legalization or apostille certified by notary,
    3. Polish sworn translation of the original BA/MA diploma. The translation should be taken by Polish sworn translator (applies to certificates and diplomas issued in languages other than English),
    4. one color passport type photograph (35×45 mm),
    5. signed by hand declaration to respect the Catholic character of the John Paul II Catholic University in Lublin,
    6. valid health certificate is required for candidates admitted to Biotechnology programme. The medical referral is issued by the Secretariat of the Faculty,

    8. Letter of Recommendation from the Church authorities and permission to undertake the studies for clergymen,

After admission to a programme you can submit documents in the following ways:
      • in person or any person on your behalf can submit the documents to KUL mailbox (find mailbox at the gatehouse of the Main Campus, Campus Poczekajka and Campus in Stalowa Wola).
      • If you have no possibility to submit and sign documents in person (e.g. staying abroad) other person can act on your behalf if and when:
          • have an authority certified by notary to submit and sign documents confirming the studies on your behalf – form of authority HERE IMPORTANT: for the above form of authority notarization is not required!
      • by post – to the address of Admissions Office KUL (for foreign candidates)

Admissions Office KUL

      1. On the day the results are announced, check the results of the admission procedure on your e-rekrut account (Admissions -> in the section Selected -> go to Details next to a selected programme).
      2. If you have been admitted to a programme you will receive the following information: Candidate has been admitted to a programme. Waiting for online confirmation and submission of the documents.
      3. If you have been admitted to a programme print out the form – personal questionary (Admissions -> Selected -> Details -> Form – Confirmation). While completing the form system will ask you to complete personal data (e.g. correspondence address) and select a mandatory course of foreign language and make a test to know your level (for certain programmes).
        • Before confirmation and printing the form please check once more if the data provided is true and correct!!!
        • If you find a mistake in data after confirmation and printing the form you must contact Admissions Office KUL to make corrections, e-mail: study@kul.pl, tel. 81 445 42 16
      4. Printed, signed form with photograph – personal questionary you must scan and upload in the system e-Rekrut.
      5. You can print the form and upload scans of documents when due (SCHEDULE).
      6. If you upload all required documents properly Admissions Office KUL will send information about next steps!
      7. In the absence of online confirmation in the e-Rekrut system through the account, it is considered that you resign from the selected programme and will be removed from the list of admitted candidates.
      8. Remember: it is required to submit the documents to the appropriate Dean’s Office of the Faculty. Foreigners must submit documents to the Admissions Office KUL (Candidates and Students Section – Kolegium Norwidianum, CN-004) (please find the list of documents above).
